Free invoice template for pool cleaning

Pool cleaning invoices come in two shapes: the regular service you bill every fortnight, and the one-off with a green pool and a chemical bill attached. One structure handles both.

The line items pool cleaners actually bill

• Service visit: the standard clean as one line. "Fortnightly pool service, 15 July" tells them exactly what they're paying for.
• Chemicals: the dosing beyond the standard service. Chlorine, acid, algaecide, salt. One "chemicals" line with a total works for routine top-ups, itemise a big correction dose.
• Parts and equipment: a new basket, o-ring or cleaner part is its own line with the part named.
• Extra labour: a green-pool recovery or filter teardown beyond the normal visit gets its own labour line so the regular price stays clean.

The point of separating them: your regular customers see the same service line at the same price every time, and anything extra explains itself.

Regulars vs one-offs

For regulars, invoice the same way on the same day each cycle, and keep the description consistent so their records and yours line up. For one-offs, describe the state you found and what it took: "Green pool recovery: vacuum, backwash x2, shock dose." The detail is what stops the price argument a week later.

The fields that make it a valid invoice

• Your business name and ABN.
• "Invoice", or "Tax invoice" only if you're GST-registered.
• Invoice number and date.
• Customer's name.
• Description, amounts, and GST if any.
• Due date and how to pay.

Registered for GST: add 10% and show it. Not registered: no GST line, and don't call it a tax invoice.

Make the regular money automatic

Recurring work lives or dies on rhythm. Same service day, same invoice day, same due date, a pay link on every one, and a nudge the day after anything falls due. That rhythm is worth more than any template.
